What do I do if the uploaded data isn't accurate?

Districts can’t upload a full replacement if they’ve already successfully submitted a data file for an assessment in SSOR. If you determine there were a large number of errors with your initial file submission, you have 3 options, listed below.

Before Students Have Started Testing

Option 1: Schools and district working together to correct the issue.

  • Schools can delete their entire roster of students, removing all students previously uploaded by the district.
  • Once this is completed, the district can prepare a corrected file and submit it as an add-on file. This will allow the corrected data to flow to the schools’ rosters since the previously submitted data for those students was removed.

Option 2: Schools can upload their own file.

  • Each school can delete their registered students and request a full data replacement using the option available under Additional Actions in SSOR. This will delete their existing roster and allow them to upload corrected data at the school-level. Districts can also perform this action for a school if they’ve been assigned the data coordinator role in the school’s SSOR by the school’s SSOR access manager.

Option 3: Schools can manually correct data.

  • Schools can manually edit each student prior to registering them in their roster to correct any data issues. They must correct the data before they register them in SSOR.
  • If the student has already been registered, you’ll need to delete the registered student and add a new record with corrected data and register the student again using that new SSOR record.

Reminders:

  • When you delete a registered student, it will remove that student from Test Day Toolkit. Any activities already completed there will need to be completed again using the new student record that was registered.
  • If you need to update testing accommodations to a student’s SSOR record, you can update those at any time prior to testing, whether the student is registered or not. Make these updates and confirm they appear in Test Day Toolkit before the student starts testing in Bluebook.

After Students Have Started Testing

  • Once a student starts testing, their personal information (name, date of birth, grade, etc.) can’ be updated in SSOR. You should allow the student to complete testing and reach out to College Board for assistance in correcting the data. You can complete the In-School Support Form or call at 888-477-7728 (International: +1-212-237-1335).
  • Note: College Board may have limited ability to help correct student data errors after they've started testing. These errors can result in delayed or canceled scores or mismatches between score sends and a student's college application. It’s extremely important that you validate student data prior to registering them to test to avoid these types of data issues.
  • If you need to update testing accommodations to a student’s SSOR record who has already started testing, you can submit a retest IR in Test Day Tool Kit. Once the retest IR is submitted, you can update the student’s accommodations in SSOR at any time prior to having the student start their retest. Make these updates and confirm they appear in Test Day Toolkit before the student starts their retest in Bluebook.
