Why can't I upload files or view the registration roster?

The access manager at your organization can assign various roles for the SSOR tool. The roles you're granted depend on the actions you need to take within SSOR. Work with the SSOR access manager if you believe you're missing the role you need to complete your tasks.

  • SAT Suite Data Coordinator: This role allows users to upload test taker information and progress through file validations to submit data for the registration roster.
  • SAT Suite Registration: This role allows users to access the registration roster, add students to the roster, delete students from the roster, review SSD information, and register students.

Your District Will Upload Data

If your district placed an order for your school, they may have indicated on the order that they will upload student data for you as well. If this is the case, your school's SAT Suite data coordinator can't upload a data file for the test ordered by your district. You'll see a notice in Step 1 letting you know that your district will upload and submit data for your school.

There Are Two Orders for the Same Assessment

If you and your district both placed orders for the same test but for different grades, then the SAT Suite data coordinators from both your school and district need to upload and submit data files for the test in Step 1 before the roster will be available to schools in Step 2.

  • For example, if your district placed an order for the fall PSAT 8/9 for 8th grade for your school and you placed an order for the fall PSAT 8/9 for 9th grade, then your district needs to upload and submit the 8th grade data and your school will need to upload and submit the 9th grade data. After both files have been submitted and processed, the user at your school with SAT Suite registration role access will be able to view the roster for both 8th and 9th grades.
  • Note: If your district already placed an order for your school for the test, grade(s), and quantity you intend to test, then your school doesn't need a separate order. If your school placed an order before your district had but you now see that your district is covering the test, grade(s), and quantity you intend to test, then a user at your school with the SAT Suite ordering role should cancel the unnecessary school order.
Additional Information for Districts

Districts can only upload data using their district SSOR for orders placed by the district. If your district placed an order for your schools, they may have indicated on the order that schools will upload student data for your order. If this is the case, your district's SAT Suite data coordinator can't upload a data file for the test ordered by your district. If your district data coordinator needs to upload data for school-placed orders, they'll need to have the SAT Suite data coordinator role assigned to them by each school's SSOR access manager. They can then access each school's SSOR to upload data for any school-placed order.

Registration rosters in SSOR will be available after student data has been submitted. There are a few scenarios for data submission that you should be aware of:

  1. Tests ordered by districts only
    • The test roster will be available to both the district and any applicable school(s) after the district uploads and submits a data file.
    • After the roster is created, both schools and districts will be able to manually add students in the roster, but only districts will see the option to upload add-on files for the test.
  2. Tests ordered by schools only
    • The test roster will be available for the district once at least one school in the district uploads and submits a data file. If additional schools ordered this test, then their students will appear in the district-level roster once they have submitted their files.
    • For each school submitting data, their roster will be available after Step 1 has been submitted and processed.
    • After the roster is created, both schools and districts will be able to manually add students in the roster, but only schools will see the option to upload add-on files for the test.
  3. Tests ordered by both districts and schools
    • The test roster will be available to districts once they upload and submit their data file. As schools also submit data, the schools' additional students will appear in the district-level roster as well.
    • For each school submitting data, their roster will be available after both they and their district submit data in Step 1 and that data has fully processed.
    • After the roster is created, both schools and districts will be able to manually add students in the roster.
    • Both districts and schools will see the option to upload add-on files for the grades they originally ordered.
