Understanding K–12 Reporting Roles

Assign one or more of these K–12 reporting roles to users based on what they need access to:

Role Name What It Grants Access To
Access Management/DAT (K–12) Assigns roles to others (or yourself) using the Managing Access tool. Required for managing access.
File Downloads (K–12) Download raw data files (not online reports). Typically used by IT staff.
Summary Reports (K–12) View aggregate data only (no student details). Great for district leadership.
Detailed Reports (K–12) Full access to reports including aggregate data and individual student data. Great for counselors and teachers.

Tips:

  • Assign both file downloads and detailed reports roles for full access.
  • Don't assign both summary reports and detailed reports roles to one user. The summary reports role isn't needed if the detailed reports role is assigned.
  • Update user access regularly, especially at the end of the school year. You won't receive an email when roles are about to expire, so review K–12 reporting access regularly and update role assignment(s) as needed.
