Checklist for District Test Coordinators

As the district test coordinator, you're responsible for the following tasks:

  • Order tests for your schools. Select your testing start date and grades of student testing. Be sure to allocate test quantities for each school.
  • Reach out to your schools and have them review the order placed for completeness in SSOR. They may need to provide additional information to complete the order (i.e., school testing coordinator contact information).
  • You have the option to assign the responsibility for uploading and submitting data in Step 1 of the registration process in SSOR (as explained in the Registration Guide) to the school. Schools and districts should coordinate together on who will be uploading and submitting the data. If you choose to upload the data as the district test coordinator, you must submit the registration data in SSOR and create the roster before staff will be able to validate student data and register students.
  • Determine whether district test coordinators or school test coordinators will be responsible for reviewing student data and registering students for testing. Reach out to the applicable staff to review and validate the uploaded student registration data, including testing accommodations, in SSOR and register students to test. IMPORTANT: Uploading student registration data does not register them to test.

Complete your order and upload student registration data in SSOR
  • Alert your schools if you’re placing the order on their behalf.
  • Select a testing start date for all schools, select grades of students testing, and allocate test quantities for each school.
  • Indicate whether your district will upload student registration data, or if each school will.
    • If your district indicated they would upload student registration data on your district order, your district's SAT Suite data coordinator must upload a student registration data file in SSOR, fix any data errors (as applicable), and submit the data.
      IMPORTANT: If schools also placed an order for this test (i.e., for different grades than ordered by your district), then they will be required to upload and submit student registration data in SSOR as well.
  • Identify your staff and make sure all of their contact information, including your own, is up to date in SSOR.
  • Go to cb.org/bluebook-tech to learn about network and device requirements for digital testing.
  • Identify school or district technology staff to help prepare your network and devices.
  • Identify an SAT Suite Ordering and Registration access manager who will enable staff access to SSOR. Visit the Help Center for more details about the access manager role.
  • Identify a purchaser who will place your district order. Your access manager, using the Managing Access Tool, should assign them the SAT Suite ordering role.
  • Identify a staff member who will upload student registration data into SSOR. Your access manager, using the Managing Access Tool, should assign them the SAT Suite data coordinator role.
  • Identify any staff members who need access to the district-level roster in SSOR. Your access manager, using the Managing Access Tool, should assign them the SAT Suite registration role.
  • To monitor the progress for ordering for the schools in your district, review the Tests Ordered column in the SSOR District Test Day Readiness Dashboard. If you notice delays, follow up with the staff member in the SAT Suite ordering role, also known as the purchaser. If your district is responsible for ordering, this will be a district staff person. If schools are responsible for ordering, you will need to follow up with each school.
  • Check in with your schools about their preparations.
  • Read through the In-School Digital Testing Checklist to learn about all the tasks for schools leading up to test day.
  • Help data coordinators prepare their student data files with information in the Help Center for Districts.
  • To monitor the progress for data uploads for the schools in your districts, review the Students Uploaded column in the SSOR District Test Day Dashboard. District staff with the SAT Suite registration role can also review uploaded data in the district-level roster within SSOR. If you notice delays, follow up with the SAT Suite data coordinator for your district.

Test coordinators validate and register students for testing
The test coordinator(s) should confirm all students who intend to test have accurate records in the registration roster in SSOR. After student records have been validated, each student who will be testing should be registered in SSOR. Registered students' information will appear in Test Day Toolkit within 1–2 hours.

IMPORTANT: Test coordinators and SSD coordinators should carefully check the accuracy of student data prior to registration. After registration, student records will be locked for testing. Any changes (e.g., name misspelling or incorrect grade) will need to be managed by deleting the record in SSOR and re-adding the corrected record manually. Any post-registration activities completed in Test Day Toolkit for that student will need to be completed again.

The school's SSD coordinator should confirm that approved College Board testing accommodations are associated to those students who need them in SSOR. They can use SSOR to waive accommodations or add missing SSD IDs as needed. They should complete this task prior to registration; however, accommodations can be updated after the student is registered.
  • Help coordinators prepare for accommodated testing. Learn about accommodations for digital testing.
  • To monitor progress for the schools in your district for completing registration, use the Students Registered column in the SSOR District Test Day Dashboard. District staff with the SAT Suite registration role can also review uploaded data in the district-level roster within SSOR. Follow up with the school test coordinator if you notice delays in this action.
  • Ensure that your school or district technology staff has made shared testing devices available for the student readiness check with Bluebook installed on each one.
  • Remind school staff to complete their required training and begin reading the manuals and guides.
  • To monitor how test coordinators are progressing through the set-up steps in Test Day Toolkit, review the Administrations Accessed, Rooms Added, and Staff Added columns in the SSOR District Test Day Readiness Dashboard.

Important: Only use Test Day Toolkit to print sign-in tickets. It should not be used during the student readiness check and no room or start codes should be given out.

Score release and invoicing
  • Be familiar with After Test Day steps.
  • Review the score release timelines so you know what to expect.
  • Ensure you have access to the online K–12 Reporting Portal so you can access scores and review prior to student score release. Find more information on accessing the K–12 reporting portal.
  • Prepare your counselors for student score release.
  • Remind your staff to download score PDFs from the online K-12 reporting portal and share them with students.
  • Remind students who participated in BigFuture School to access their scores on the mobile app.
  • Invoices will be emailed to the billing contact on your order in mid-November for fall testing and mid-May for spring testing. Wait for the official invoice before submitting payment. Districts and schools will be billed for the orders they placed separately, as applicable.
